Send a workspace invite, what your teammate receives, how they accept, and what to do when an invite is refused.

Summary#

An invite adds one person to your workspace. You enter their email address on the Team screen, they receive a link, and once they confirm their address they join your team and can work in your Blog Studio at the role you chose. Invites need the Pro plan or higher, and each one consumes a seat as soon as you send it.

Purpose#

Publishing is the part of Metric Vault that genuinely needs more than one person: a writer drafts, an editor approves, and the owner keeps control of the settings. An invite is how you give a colleague that access without sharing your password, and it is what puts them on a member list you can audit and revoke.

Inviting is deliberately a two-sided action. You name the address; the person at that address has to open the link and confirm it. Nobody is added silently.

Before you invite a team, read What teammates share. It sets out exactly what a member does and does not get, and it is the difference between a rollout that lands and one that generates a week of questions.

Requirements#

  • Your account is on Pro, Agency or Enterprise. Free and Starter accounts include no invites. See Seats and plan limits.
  • You have a free seat. Pending invites count, so an unaccepted invite from last month is still occupying one.
  • You know the exact email address your teammate will use to accept. The address on the invite and the address they type must match.

Permissions#

You always invite into your own workspace, meaning the workspace of the account you are signed in to. This is true even if you currently have someone else's workspace selected in Workspaces You've Joined — the Team screen does not follow that selection.

Your teammate does not need a paid plan to accept. While they work in your workspace, their tool runs draw on your plan and shared credits, so a teammate on Free can run the paid tools there on your allowance. In their own workspace they are limited by their own plan.

A member cannot be invited as an owner. Ownership belongs to whoever created the workspace and is not assignable. See Workspace ownership.

Step-by-Step Guide#

  1. Open Team from the Account & Team group in the sidebar. You can also click Invite Teammate in the page header, which jumps straight to the form.
  2. In the Invite a Teammate card, type the address in the EMAIL ADDRESS field. The placeholder shows the expected shape: teammate@company.com.
  3. Choose a value in the BLOG ROLE dropdown. The options are Author — own posts only, Editor — posts & media and Owner — full access. Choose Author or Editor. Owner is rejected — see Troubleshooting below. This setting controls Blog Studio permissions; see Roles and what each can do for what it does and does not govern.
  4. Click Send Invite. A confirmation line appears directly under the button.
  5. Read that line. On success it says Invited <address> — invite email sent. If the invite email could not be sent it instead offers a link to copy this invite URL so you can share it yourself. The screen also explains this: Invited users get an email with an accept link. If Resend email isn't configured, copy the invite URL from the feedback and share it manually.
  6. The new row appears in Your Team within about a second, carrying a PENDING badge until it is accepted. Click Refresh if it does not.

What your teammate does#

  1. They receive an email from Metric Vault <invites@metricvaultai.com> with the subject <your address> invited you to a Metric Vault workspace, headed You've been invited, with an Accept invite → button.
  2. The button opens the accept page, headed Accept invite, which reads Enter the email this invite was sent to, and we'll add you to the workspace.
  3. They type that address and click Accept invite. On success the page says Accepted. You now have access to <your address>'s workspace. with a Go to dashboard → link.
  4. Back in their own dashboard, your workspace now appears under Workspaces You've Joined on their Team screen, with a Switch → action.
Important

Important: Accepting does not require the person to be signed in, and the address is not verified beyond matching the invite. Treat the invite link as a credential: send it to the individual, not to a shared inbox or a public channel. Invite links do not expire on their own — the only way to invalidate one is to remove the pending member, which is covered in Removing a member.

After they accept#

The PENDING badge on their row becomes ACTIVE, and the Team Members tile sub-line updates to read N active · N pending. Nothing else needs to be done — their access begins immediately.

Examples#

Example

Example: An agency on Pro has 4 seats to give away. They invite their strategist as Editor — posts & media and their client's marketing manager as Author — own posts only. Both accept the same day. Two seats are used, two remain. A month later they invite a freelancer, who never opens the email — that pending invite still holds the third seat until it is removed.

Tips#

  • Copy the invite URL from the confirmation line before you navigate away. It is shown once, and there is no way to look it up afterwards.
  • Invite the address your teammate actually signs in with. If they accept with one address and then sign in with another, the membership will not follow them.
  • The Refresh button on Your Team re-reads the list without reloading the page. Use it after a teammate tells you they have accepted.

Best Practices#

  • Send invites one at a time and confirm each acceptance. There is no bulk invite and no resend, so a batch that silently fails is more work to unpick than a batch that never existed.
  • Decide the blog role before you send, not after. The person may already have published something by the time you change it.
  • Clear out pending invites that are more than a week old. They hold seats and their links stay valid indefinitely.

Common Mistakes#

  • Inviting yourself. Using your own address returns You can't invite yourself. Your own workspace is already yours.
  • Choosing Owner — full access. The option is in the dropdown but the server refuses it. Pick Author or Editor.
  • Expecting the invite to change the teammate's plan. It does not. A teammate on Free stays on Free and remains limited to the free technical tools.
  • Re-sending to the same address to "resend" an invite. That returns Already invited or this person is already a member. Remove the pending row first, then invite again to generate a fresh link.

Limitations#

  • No bulk invite, no CSV import, and no invite-by-domain.
  • No resend button, and no way to re-copy an invite link once the confirmation line has gone.
  • No expiry on invite links.
  • No notification to you when an invite is accepted. The Team screen is the record; check the PENDING and ACTIVE badges.

Troubleshooting#

FAQs#

Does my teammate need a paid plan to accept? No. Anyone can accept an invite, see your workspace, and run its paid tools on your shared credits while working in it. In their own workspace they are limited by their own plan. See What teammates share.

Does the invite cost credits? No. Invites, acceptances and removals never consume credits. See How credits work.

Can I invite the same person to more than one workspace? Yes. A person can be a member of several workspaces and switch between them. Note that Blog Studio always routes them to their most recently accepted workspace's blog, which is covered in Roles and what each can do.

Can I cancel an invite before it is accepted? Yes. Remove the pending row — see Removing a member. That also invalidates the link, because the link only works while the row exists.

Someone accepted, but their dashboard still shows their own data. What went wrong? Nothing. Accepting adds your workspace to their list and gives them your Blog Studio; it does not merge the two dashboards. What teammates share sets out exactly what is and is not shared.
